The Oregon Crime Victims Law Center is seeking a half-time victim advocate and a half-time administrative assistant, or one full-time employee who can perform both job functions. Position descriptions for the two half-time positions are attached. (A full-time employee would be expected to perform the duties described in both job descriptions, with combined salary and benefits.) The OCVLC also assesses the social-services needs of prospective clients and addresses those needs either through its victim advocate or through referrals to other agencies. The employee in this part-time administrative position will help the OCVLC?s director / attorney and its victim advocate to provide these legal and social services by performing the following duties. Administrative Duties: Screening and routing telephone calls and mail. Maintaining a common case docket and calendar. Scheduling court appearances and meetings for the OCVLC?s director, victim advocate, pro bono attorneys, law students and other volunteers. Communicating with the OCVLC?s director, victim advocate, pro bono attorneys, law students and other volunteers, both orally and in writing, concerning the dates of court appearances, meetings and deadlines, including deadlines for filing legal pleadings. Ordering police reports, transcripts and court and other records. Composing and preparing correspondence, reports and legal documents, including those that require a high degree of accuracy, using word-processing software and spreadsheets. Maintaining online and physical case, budget and grant-reporting files. Performing basic bookkeeping functions, including but not limited to data entry, grant cost allocation, bank-account reconciliation and preparation of summary financial reports for the OCVLC?s board of directors, using Quicken or other accounting software. Documenting time spent on various administrative duties in compliance with grant and other administrative requirements. Maintaining office supplies. Professional experience and skills: Proficiency with preparation of correspondence, reports and legal pleadings using word-processing and other software. Experience with Excel a plus. Experience with basic bookkeeping functions, including data entry, cost allocation, bank-account reconciliation and preparation of summary financial reports, using Quicken or other accounting software. Experience with and knowledge of the basic structure of the criminal- and juvenile-justice systems. Experience with non-profit administration a plus. Strong written and oral communication, organizational and independent problem-solving skills. Experience with victims of crime or other people who have experienced trauma a plus. Ability to interact with diverse populations in a culturally responsive manner. Ability to maintain client confidentiality. Educational qualifications: High-school diploma or GED. Professional qualifications: Two or more years of clerical / secretarial / legal or administrative-assistant experience in a legal or victim-services related office. Position?s salary, benefits, location and hours: This is budgeted as a part-time position with a maximum salary of $18,000 / year (or $1,500 / month, $17.30 / hour). Benefits include a maximum total of $773 / month towards health care insurance for the employee and any dependents and / or towards the employee?s Individual Retirement Account. A Flexible Spending Account option for dependent-care and / or non-insured health care expenses is available. This position is based in the OCVLC?s office in downtown Portland. Keeping a current list of appropriate social-service resources available throughout the state. Keeping informed about current issues, policies and legislation relating to victims? rights and victimization. Developing and implementing educational programs and outreach relating to victims? rights, social services available to crime victims and the criminal- and juvenile-justice systems. Entering case information online. Documenting time spent on various victims? services duties in compliance with grant and other requirements. Skills and professional experience: Ability to provide crime victims with appropriate crisis intervention and emotional support; to recognize the need for outside social services and to make appropriate referrals to such services. Experience with and knowledge of the basic structure of the criminal- and juvenile-justice systems. Strong written and oral communication, organizational and independent problem-solving skills.
